How to Prepare for a Remote Valve Factory Audit

A useful remote audit follows a pre-agreed route and one traceable valve. Ask for live views of people, equipment, records and identification; do not accept a polished factory video as a substitute for verification.

Prepare the audit before the call

01

Define the scope

State the valve families, standards, processes and order risks to be covered. A broad “factory tour” produces broad answers.

02

Agree the live route

Request reception or signage, incoming material, machining or outsourced-process controls, assembly, pressure testing, inspection, marking and packing.

03

Send the document list

Ask for named files in advance so the meeting is spent checking evidence, not waiting for someone to search a computer.

04

Select a traceable sample

Choose one physical valve or order line and follow its identification through drawing, material, test and packing records.

05

Record findings

Separate observations, missing evidence and nonconformities. Assign an owner and due date to each open point.

06

Close, then approve

Supplier approval should reference the closed evidence set, not simply the date of the video call.

Suggested live route

Follow the order, not the camera operator

  1. Identity: exterior or internal signage and the people joining the audit.
  2. Incoming control: material identification, storage and inspection status.
  3. Production: current work, equipment identity and work instructions.
  4. Assembly: components, cleanliness, torque or assembly controls where relevant.
  5. Testing: test bench, gauges, calibration status and acceptance criteria.
  6. Final inspection: dimensions, coating, markings and documentation.
  7. Packing: preservation, labels, wooden cases and shipment marks.
Documents to have open

Make every claim traceable

  • Legal entity and facility address
  • Applicable certificate scope
  • Approved data sheet and drawing revision
  • Material or component record for the selected sample
  • Pressure-test procedure and result
  • Gauge calibration record
  • Inspection checklist and nonconformity log
  • Nameplate and packing-mark approval

Questions that reveal process control

AskLook forWeak answer
How is this drawing revision released?Controlled copy, revision record and work-order link“The operator knows the latest version.”
How is this test gauge controlled?Gauge ID, range and valid calibration recordCertificate cannot be matched to the gauge
What happens after a failed test?Segregation, disposition, rework and retest recordsOnly verbal assurance that failures are rare
Practical limits

Know when a remote audit is not enough

A remote review is useful for early qualification, follow-up and document verification. It does not replace an on-site audit or independent inspection when project risk, contract terms, regulatory requirements or customer procedures require physical attendance.

For HSVA, the Dongguan export team coordinates the agenda and evidence list; the Nan’an production team supports the live production and quality review. Open points are recorded for follow-up rather than answered with unverified claims.
